# Microsoft Access

Application: Microsoft Corporation

Also called access, ms access, msaccess

Microsoft Corporation, Productivity

Microsoft's desktop database. The process is MSACCESS.EXE. It is missing from many Home Microsoft 365 SKUs. It is not Excel.

## What you need to know

Access is MSACCESS.EXE. A big spreadsheet is still Excel, not a database.

Microsoft Access stores tables, queries, forms, and reports in an .accdb (or older .mdb) file. Many Microsoft 365 Family and Personal installs never place MSACCESS.EXE on disk. Excel is EXCEL.EXE.

- **What is it?**: A desktop database app

  **In Home 365?**: Usually no

**Same as Excel?**: No. Excel is a spreadsheet

Feex says

If Start search cannot find Access after a Home 365 install, I would check the SKU before I repair Word. Home plans often omit Access. Excel is not a replacement for an .accdb application.

## What is Microsoft Access?

Microsoft Access is a desktop relational database bundled with some Office and Microsoft 365 business SKUs. The Windows executable is MSACCESS.EXE. It is not Excel and not SQL Server.

## If you have never used it

If someone sent an .accdb file, you need Access or the Access Runtime, not Excel. Excel can hold a table. It does not run Access forms and reports. Many Home Microsoft 365 subscriptions never install MSACCESS.EXE. Check your plan or use a business SKU before you hunt for a missing exe.

## What is it used for?

**Desktop databases**

Tables, relationships, and .accdb files on one PC or a small share.

**Forms and reports**

Line-of-business UI that Excel sheets do not provide.

**Access Runtime apps**

Some vendors ship an Access front end plus Runtime. That is still Access, not Excel.

## Who is it for?

- Offices that still run an .accdb line-of-business app
- People whose Home 365 install never included Access
- Anyone who should not open an Access app in Excel and expect forms

## Current status

Still shipped in Microsoft 365 Apps for business and some Professional boxes. It is not in many consumer 365 plans. This article is desktop Access on Windows.

## How old is it?

Access 1.0 shipped in 1992. It is an old desktop database, not a cloud warehouse. Current files are usually .accdb. A 2000-era .mdb may still open with warnings.

## System requirements

Values follow the publisher's public guidance. Workload still changes the real need.

### Minimum

| CPU | 1.6 GHz or faster, 2-core, per Microsoft for Microsoft 365 Apps |
| ---------------- | ---------------------------------------------------------------- |
| RAM | 4 GB for 64-bit, per Microsoft. Large files want more |
| Storage | 4 GB class install plus your documents |
| Operating system | A current Windows release Microsoft lists for Microsoft 365 Apps |

## Resource profile

- **CPU demand**: Queries and report rendering

  **RAM demand**: Large local databases

**Disk demand**: The .accdb file and lock files

## Installed processes

These executables belong to this product when it is installed.

| MSACCESS.EXE | Desktop Access |
| ------------ | -------------- |

## Startup components

Access starts when you open a database. It should not start with Windows unless a vendor shortcut put it there.

## File locations

| Typical Click-to-Run | C:\Program Files\Microsoft Office\root\Office16\MSACCESS.EXE |
| -------------------- | ------------------------------------------------------------ |

## File formats

ACCDB, MDB, ACCDE, ACCDA

## Common problems

### Access missing after a Home 365 install

The plan likely never included it. Changing Word repair will not add MSACCESS.EXE.

### People open .accdb in Excel

Excel may import a table. It will not run the Access application.

## Getting unstuck

### Check whether your Microsoft 365 SKU includes Access

Family and Personal usually do not. Apps for business and some Office Professional SKUs do.

### Use Access Runtime only when the vendor says so

Runtime opens a packaged app. It is not the full designer and it is not Excel.

### Compact and repair from Access, not from Word

A bloated .accdb is an Access file problem. WINWORD cannot compact it.

## Alternatives

Excel, SQL Server Express, and a web app overlap for data. None of them run an existing Access form without migration.

## Related hardware

A local .accdb wants reliable local disk. Putting the only copy on a flaky USB drive is a common way to corrupt it.
