# Power BI Desktop

Application: Microsoft Corporation

Also called power bi, pbidesktop, powerbi desktop

Microsoft Corporation, Productivity

A free desktop report builder that publishes to the Power BI service. The process is PBIDesktop.exe. It is not Excel.

## What you need to know

Power BI Desktop is PBIDesktop.exe. Excel is EXCEL.EXE.

The free designer publishes to the Power BI service. Excel remains the spreadsheet. Power Query exists in both. The report file is still .pbix.

- **What is it?**: Report builder

**Still current?**: Yes, see Current status

Feex says

If a .pbix will not open, I would install Power BI Desktop, not repair Excel. PBIDesktop.exe is a different app.

## What is Power BI Desktop?

Power BI Desktop is Microsoft's free Windows report designer. PBIDesktop.exe authors .pbix files and publishes to the Power BI service. Excel is the spreadsheet.

## If you have never used it

If you build interactive reports and publish them to app.powerbi.com, this is Power BI Desktop, not Excel. Download PBIDesktop from powerbi.microsoft.com/desktop. Excel can hold a PivotTable. It is not this report canvas. A .pbix file will not open as a full report in EXCEL.EXE.

## What is it used for?

**Model and visualize data**

Queries, a model, and report pages. A single Excel sheet is not this semantic model.

**Publish to Power BI service**

Desktop authors. The service hosts. Excel Publish is a different path.

**DAX measures**

Measures live in the model. Excel has its own DAX in Power Pivot. The files are still different.

## Who is it for?

- Analysts who publish to a Power BI workspace
- People whose .pbix will not open in Excel
- Anyone who should not install Excel hoping to get PBIDesktop.exe

## Current status

Actively developed. Microsoft ships a monthly Desktop build. This article is the Windows designer, not the service admin portal.

## How old is it?

Power BI Desktop launched in 2015 out of Power Pivot and Power Query ideas that started in Excel. It is a separate app. Excel remains EXCEL.EXE. They share mashup DNA. They are not the same executable.

## Versions

## System requirements

Values follow the publisher's public guidance. Workload still changes the real need.

### Minimum

| Operating system | 64-bit Windows 10 or Windows 11, per Microsoft for Power BI Desktop |
| ---------------- | ------------------------------------------------------------------- |
| RAM | Microsoft asks for several GB. Large models want more |

## Resource profile

- **CPU demand**: Follows what you open inside the app

**RAM demand**: Follows documents, tabs, or libraries

## Installed processes

These executables belong to this product when it is installed.

| PBIDesktop.exe | Power BI Desktop |
| -------------- | ---------------- |

## Startup components

Power BI Desktop starts when you open a .pbix. It should not start with Windows.

## File locations

| Typical install | C:\Program Files\Microsoft Power BI Desktop\bin\PBIDesktop.exe |
| --------------- | -------------------------------------------------------------- |

## File formats

PBIX, PBIT

## Common problems

### Desktop missing from an Office install

Microsoft 365 that includes Excel still does not place PBIDesktop.exe. Download Desktop separately.

### Publish fails without a service account

Desktop can save a .pbix locally. Sharing to a workspace needs a Power BI account and a capacity your admin allows.

## Getting unstuck

### Install from powerbi.microsoft.com/desktop or Microsoft Store

Do not download PBIDesktop.exe from a filename mill. Microsoft documents both channels.

### Open file location if Excel and Desktop are both running

EXCEL.EXE is the book. PBIDesktop.exe is the report. Ending one does not save the other.

### Update Desktop monthly if a visual will not load

Service visuals can require a current Desktop. That is not an Excel channel update.

## Alternatives

Excel, Tableau, and the Power BI service overlap. Excel is the sibling this article is not.
